Calling
Making calls
Enter the phone number or extension you would like to dial and press the button.
If you would like to use the speakerphone, press the button after you enter the number.
Redial
Press the press the button twice to redial the last number you called.
Press press the button when the handset is not in use to access the redial list. Select the desired number, and then press the or button to connect the call.
Receiving calls
Press the or button while the phone is ringing.
Rejecting calls
Press the button while the phone is ringing.
Ending calls
Press the button.
If you are using the speakerphone, you can press the button to end a call.
Call management
Call mute
Press the button to mute a call. The mute status will be indicated on the phone’s LCD.
Press the button again to unmute the call.
Placing calls on hold
Press the Options softkey and then the Hold softkey during a call to place a call on hold. Press the Resume softkey to resume the previous call.
If there are multiple calls on hold, use the up and down navigation buttons to select the desired call and then press either the Resume softkey to resume the previous call or the Switch softkey to switch calls.
Three-way call conferencing
If you’re on an active call, press the Options softkey, select Conference, and press OK to place the active call on hold. Enter the second number that you wish to call and press OK. When the second party picks up, press the Conf softkey again to join the calls together.
Transferring calls
Blind transfer
Press the TRAN button during a call to place the call on hold.
Enter the extension or number that you wish to transfer to, and then hit the TRAN button again and hang up the phone.
Semi-attended transfer
Press the TRAN button during a call to place the call on hold.
Enter the extension or number that you wish to transfer to, and then hit the or button.
Wait until you hear a ring-back tone. Press the TRAN button again and hang up the phone.
Attended transfer
Press the TRAN button during a call to place the call on hold.
Enter the extension or number that you wish to transfer to, and then hit the or button.
Wait until the second party answers. If they wish to take the call, press the TRAN button again. If they do not wish to take the call or if there is no answer, press the Resume softkey to connect with the caller again.
Transfer to an extension’s voicemail
Press the TRAN button during a call to place the call on hold.
Dial ** followed by the extension number. Press the TRAN button again and hang up the phone.
Call Park
Call Park will “park” a call in a designated parking spot. A parked call can be retrieved from any device supported by Ooma Office. You can park a call by following these instructions:
Park a call
- Press the Transfer button.
- Dial *41, followed by the parking spot number and the # key. For example, dial *411002 to park a call in spot 1002.
- Press Transfer or #.
- Hang up the phone.
Retrieve a call
- Select a line or go off-hook.
- If you are using a desk phone or IP phone, dial *41, followed by the parking spot number and the # key. For example, dial *411002# to retrieve the call parked in spot 1002. If you are using the Ooma Mobile app, dial *41 followed by the parking spot number and the “handset” icon.
Call Flip
Call Flip allows you to seamlessly transfer calls between your extension’s devices. Flip a call from your IP phone to the mobile app by dialing *44 on the IP phone. All compatible devices on your extension will ring simultaneously.
Calling features
Call Forward
Set up call forward by following these instructions:
- Dial *72 and press the or button.
- Wait for the prompt and enter the phone number that will receive forwarded calls, followed by #.
- Listen for the system’s confirmation of the forwarding number and hang up the phone.
Toggle call forward by following these instructions:
- Dial *74 and press the or button.
- Wait for the confirmation prompt.
Voicemail
Check new messages
When the LED indicator flashes slowly, press the button to access your Ooma Office voicemail.
Do Not Disturb
Turn on Do Not Disturb by pressing the OK button. Choose Call Features, followed by Do Not Disturb from the menu. Choose the lines for which you will enable Do Not Disturb, then press the Save softkey to update your settings.
Your phone will not ring for incoming calls until Do Not Disturb is deactivated. While Do Not Disturb is enabled, you will see an indicator in the LCD display’s status bar.
Turn off Do Not Disturb by following the directions above to disable the feature.
Phone customization
Directory
At this time, the company directory is not compatible with Ooma Office. This directory will be available at a future date.
Phone language
Update the language on your phone by following these instructions:
- Press the OK button
- Select Settings
- Select Language
- Choose your desired language and press Select
- When the LCD prompts you to change the language, press the Yes softkey
Phone date and time
Update the date and time on your phone by following these instructions:
- Press the OK button
- Select Settings
- Select Date & Time
- Edit the value in the Date and Time fields
- Press the Save softkey
Display settings
Update the backlight and contrast settings on your phone by following these instructions:
- Press the OK button
- Select Settings
- Select Display
- Choose the options you wish to edit and press the Save softkey as you complete each update
Sound settings
Update the ring tones and key tones on your phone by following these instructions:
- Press the OK button
- Select Settings
- Select Audio
- Select Ring Tones
- Select Melodies
- Use the arrow buttons to listen to the ring tone options and select the one you wish to use
- Press the Save softkey
Phone status
IP address
You can find the phone’s IP address by following these instructions:
- Press the OK button
- Select Status
- Select Handset
- Scroll until you see the IP address
MAC address
You can find the phone’s MAC address by following these instructions:
- Press the OK button
- Select Status
- Select Handset
- Scroll until you see the MAC address
Switching Workspaces
One of the benefits of an IP phone is that it can make changing workspaces quick and easy. When a user relocates to a new workspace, they can simply unplug their IP phone and take it with them. When the phone is plugged in again inside the same office building, it will retain the user’s extension information.
