Using the Ooma Office CRM plugin (Pro Plus)
If you have received an email stating that your account administrator has enabled CRM integration for your account , and your account admin has completed integrating Ooma Office into your CRM, you can log into your Ooma Office account right from your CRM instance.
If you log into Ooma Office in your CRM, you will enjoy automated lookups of customer CRM records related to the remote party’s phone number for both inbound and outbound calls, and automated call record creation.
Begin by opening your CRM and looking for the Ooma Office module. Log into Ooma Office using the same credentials you’d use to log into the End User Portal or Desktop application. That’s all you need to do to get started!
If you do not see the Ooma Office in your CRM, please contact your system administrator for troubleshooting assistance.
Making Calls
Before you can use the Ooma Office plugin, that you will need to use an Ooma Office device like an IP phone, the mobile app, or the Desktop app for audio and call control functions.
You can make calls in a few ways:
- When you see the option anywhere in the CRM, use it to initiate a call.
- Within the Ooma Office module, use the option to initiate a call.
When you initiate a call, all your Ooma Office devices will ring. Simply pick up the device of your choice to connect the phone call.
To streamline this process, you may want to set your Ooma IP phone to auto-answer on incoming calls. To do this, go to Settings -> Call Settings -> Enable Auto-Answer.
Receiving Calls
When you receive a phone call to your Ooma Office extension while logged into the Ooma Office plugin, the following will happen:
- All your Ooma Office devices will ring. Take the call on whatever device you’d prefer.
- If there is a matching record for the caller-ID phone number within your CRM, that record will appear in the Ooma Office module. If there are multiple matching records, you can select the one you’d like to view.
- A record will automatically be logged against the call.
Ending Calls
When you’ve completed a call with the Ooma Office plugin, you can end it in either of the following ways:
- Hang up the device you’re using for the call.
- Use the End Call button within the plugin.
