Ooma Office Pro Pluspro pluseap users can integrate their Ooma Office service with Clio Manage. Once integration is enabled, legal staff will have streamlined and automated phone communication with clients. Users will enjoy the following benefits:

  • Caller-ID lookup for incoming and outgoing calls will bring up matching client and matters information in the Ooma Office desktop application.
  • Notes taken during the call will be saved against the Clio client and/or matte.
  • A record of the call will automatically be created in the Clio database if there is a match with an existing client

Enabling Clio Manage integration

Before you can get started, an account admin will need to enable CRM integration for your account.

Then, you can turn Clio Manage integration on by following these instructions:

  1. Using the new look in the Ooma Office desktop application, navigate to the Settings menu and select the + option beside Clio Manage.
  2. If you are not logged in to Clio, log in at this time.
  3. Choose the option to allow Ooma Office to access Clio.
  4. Once you’ve granted permissions to Ooma Office, you will be redirected back to the Ooma Office desktop application

Integrating contacts into your Ooma directory

You can integrate your Clio Manage clients into your Ooma directory.

Once you have enabled contact integration through Clio Manage, your CRM’s contacts will appear in your personal directory in the Desktop App and in a new directory on your IP phone.

When you initially connect Ooma and Clio Manage, you will be prompted to enable contact integration at that point. If you’d like to toggle this integration on or off in the future, follow the instructions below:

  1. Log in to the Desktop App and go to the Settings menu
  2. Locate Clio Manage under the Integrations header
  3. Click the icon to customize your preferences and update your contact integration settings

Viewing client information

Once Clio Manage and Ooma Office are integrated, the remote party’s caller-ID be matched to the phone numbers of existing records in Clio. If there is a match, you will see that contact information and the contact’s matters in the Ooma Office desktop application anytime you make or receive a call.

You can use the open icon to open the matching contact in Clio.

If there are multiple matches, you’ll need to select one from the list.

If you need to create a new client in Clio, you can use the add icon to add the client’s information to Clio.

Creating a communications log in Clio

When there is a matching client, a new communication log will be created in Clio. The new log can be found in the following spaces in Clio Manage:

  • Communications
  • Client
  • Matters (if a specific Matter has been selected during the call)

Taking notes

You can use Notes option in the Desktop Application if you’d like to take notes during your calls with clients. If you selected the Add Notes option, you can continue typing notes after the call winds down.

Remember to Save the notes when you are done.
