Ooma Office allows you to choose what will happen to incoming calls to your extension. Our call handling options let you fine-tune your setup according to your preferences.

To get started with your call handling preferences, log in to the End User Portal or the Ooma desptop app and navigate to the Call Handling page under the Settings category. You can set up the following scenarios:

  1. If you want incoming calls to ring your phone
  2. If you want incoming calls to ring select devices in the order you specifypro plus
  3. If you want to screen incoming callspro plus!
  4. If you want incoming calls to be automatically forwarded to a new destination

If you want incoming calls to ring your phone

If you want incoming calls to ring your phone, choose Ring all devices simultaneously from the “When I receive a call” dropdown.

Use the Ring for menu to choose how long your phone will ring before moving on to the next step. The default is 12 seconds, or two rings.

If the call is not answered, you can choose what happens next with the Then send to menu. You can pick from the following options:

  • My voicemail will send the call to your extension’s voicemail
  • Another extension will send the call to the extension of your choice
  • Another voicemail will send the call directly to the voicemail of an extension of your choice
  • Busy tone will play an infinite buy tone until the caller hangs up

Finally, select the If my phone is offline, forward it to external number option to set up call forwarding in the event that your extension is offline. You can learn more about this feature here.

If you want incoming calls to ring select devices in the order you specifypro plus

Ooma Pro subscribers can have their devices ring in the order they choose by dividing them into groups. If first group doesn’t receive an answer, the next group will ring. You can have up to three groups.

To get started, choose Ring devices in a specific order from the When I receive a call dropdown.

Use the SELECT DEVICES button to open a new window where you’ll manage the order in which your devices will ring.

Choose one or more of your devices to ring in the first box by checking the box beside them. Use the dropdown menu to choose how long those devices will ring.

Use the ADD RULE button to add a new group, where you can identify the devices that will ring and for how long. By default, this group will appear beneath the default group. You can update the order by dragging and dropping either group. Use the DELETE button to remove a group you don’t need.

Save your changes when you’re satisfied with the order in which your devices will ring. This will close the popup window so you can continue to update your call handling instructions.

If the call is not answered, you can choose what happens next with the Then send to menu. You can pick from the following options:

  • My voicemail will send the call to your extension’s voicemail
  • Another extension will send the call to the extension of your choice
  • Another voicemail will send the call directly to the voicemail of an extension of your choice

If you want to screen incoming callspro plus!

Screening incoming calls provides another layer of protection between you and unwanted calls or telephone spam. You can do this by checking the Enable Call Screening option. From there, you can choose which types of calls you’d like to screen:

  • Anonymous callers will screen calls that don’t have an associated Caller ID.
  • Callers not in directories (default) will screen calls from the callers who are not in any of your directories (Company, Shared, or Personal).
  • All callers will screen calls from all callers. Note that extension to extension calls are never screened.

If you want incoming calls to be automatically forwarded to a new destination

If you want incoming calls to be automatically forwarded to a new destination, choose Forward it immediately from the When I receive a call dropdown.

Use the Then send to menu to choose what happens to incoming calls:

  • My voicemail will send the call to your extension’s voicemail
  • Another extension will send the call to the extension of your choice
  • Another voicemail will send the call directly to the voicemail of an extension of your choice
