Ooma Office is compatible with most models of analog fax machines. When a fax machine is added, it comes with its own direct dial phone number and extension number. A fax extension is automatically configured to send and receive high-quality faxes.

You can install a fax machine by following these instructions:

  1. Log in to office.ooma.com as an administrator and navigate to the Settings page.
  2. Select User from the Add menu.
  3. Fill out the required information for the faxing extension. Choose the Grandstream ATA phone jack (recommended), the Base Station phone jack (recommended), or the Linx device that the fax machine will plug into as the user’s device. If you do not have an open analog phone port, please see our devices overview to learn more about the options that are available to expand your setup.
  4. Select the phone number that will be assigned to the fax machine. A phone number has been pre-selected based on your company’s main phone number, but you can choose a new one by clicking on the suggested number.
  5. Save your changes.

If you have selected the Grandstream ATA phone jack, you will also need to enable fax mode by following these instructions:

  1. Log in to office.ooma.com or the desptop app as an administrator and go to the Devices page.
  2. Choose the Grandstream ATA adapter you’d like to update and select it to bring up the Edit Device page.
  3. Check the Enable Fax mode box beside the phone port that will be connected to the fax machine.
  4. Save your changes.

When you have finished following these steps, you may plug your fax machine into the selected device. Once it is set up, your fax machine can send and receive faxes according to the manufacturer’s instructions. For optimal faxing, you should update your fax machine’s settings to set the Baud Rate to 9600 and disable Error Correction Mode.
