Setting up a custom schedule for your Virtual Receptionist
By default, the Virtual Receptionist will perform the same actions all day, every day. You can create a custom schedule that will play an After Hours menu whenever your business is closed.
A custom schedule lets you identify your standard operating hours and create special schedules for dates with modified hours or where your business is closed all together. Ooma Pro Plus customers can create up to five custom schedules.
Setting business hours
You can set your business operating hours by following these instructions:
- Log in to office.ooma.com as an administrator and navigate to the Schedule tab on the Edit Virtual Receptionist page.
- Choose the Virtual Receptionist whose key press assignments you’d like to update.
- Select Schedule.
- Choose a schedule from the My schedule list or create a new schedule (see instructions below).
- Populate the Holiday List (see instructions below)
- Save your changes.
Creating a Business Schedule
- Follow the instructions in the previous section to access your Virtual Receptionist’s Custom Schedules.
- Use the +Add menu to choose Add schedule.
- Name the schedule, then select a day of the week and drag down to cover the range of your business’s hours of operation. You may select multiple ranges in a single day if your business shuts down for part of the day.
- Fine-tune your selection by selecting an existing time range. You can expand your business hours to include multiple days of the week, and you can fine-tune your opening and closing times in 15-minute intervals.
- Delete a time range using the x in the upper-right corner.
- Save your changes.
The Business menu will be played during time blocks when the business is marked as open according to the Virtual Receptionist’s time zone. If you have multiple Business menus with overlapping hours, the one that’s highest on the list will take priority!. The After hours menu will play when your business is closed. Ooma Pro Plus subscribers can set up a special menu to play on holidays.
Adding Holidays
You can identify holidays when your business will be closed all day. By default, the Virtual Receptionist will play the After hours menu for incoming callers all day on holidays. Ooma Pro Plus subscribers can set up separate call handling instructions for holidays.
To set up a new Holiday Schedule, follow these steps:
- Follow the instructions in the previous section to access your Virtual Receptionist’s Custom Schedules.
- Use the +Add menu to choose Add holiday list.
- Use the Edit Holiday Schedule modal window to identify holidays when your business will be closed. You can add additional rows to the list with the +Add Holiday option.
- Use the icon beside a holiday to delete it.
- Save your changes to finalize your schedule.
