Calling
Making calls
Pick up the handset and enter the phone number or extension that you would like to dial. If you would like to use the speakerphone, press the speakerphone key while the handset is still on the hook and then enter the number.
Redial
Press the redial softkey to bring up a list of recently dialed numbers. Select the desired number, and then press the dial softkey or the speakerphone key.
Last call received
Dial the last call received by pressing the lcr softkey. You may need to press the navigation pad to the right to toggle your softkeys in order to find this option.
Returning a missed call
If you have a missed call, you will see a notification on the LCD screen.
You may return the most recent missed call by pressing the lcr softkey.
To bring up a list of your most recent missed calls, press the miss softkey. Select the call that you wish to return, and then press the dial softkey.
Receiving calls
Pick up the handset or press the speakerphone key while the phone is ringing.
Rejecting calls
Press the reject softkey while the phone is ringing.
Ending calls
Hang up the handset or, if you are using the speakerphone, press the speakerphone key to end a call.
Call history
View call history
You can view your calling history by following these instructions:
- Press the menu button
- Select Call History (option 3)
- Choose to view one of the following:
- Redial List: The last 60 numbers dialed from your phone
- Answered Calls: The caller ID of the last 60 answered calls
- Missed Calls: The last 60 missed calls
Calling from call history
When you have found the number that you wish to call, press the dial softkey.
Deleting a call from call history
When you have found the number that you wish to delete, press the delete softkey.
Call management
Call mute
Press the mute key to mute a call.
Press the mute key again to unmute the call.
Placing calls on hold
Press the hold key during a call to place a call on hold. Press the hold key again to resume the call.
If there are multiple calls, use the up and down buttons to select the desired call and then press the hold key.
Three-way call conferencing
If you have one active call and wish to dial a new number
Press the hold key to place the active call on hold.
Enter the second number that you wish to call and press dial. When the second party picks up, press the conf softkey to join the calls together.
If you have two active calls
Press the join softkey to bring up a list of active calls that are on other lines. Select the call that you wish to conference in, and then press the join softkey to conference the two calls together.
Transferring calls
Blind transfer
Press the bxfer softkey to place the active call on hold.
Enter the extension or number that you wish to transfer to, and press the dial softkey. The call will be transferred.
Semi-attended transfer
Press the xfer softkey during a call to place the call on hold.
Enter the extension or number that you wish to transfer to, and then wait until you hear a ring-back tone. Press the xfer softkey again.
Attended transfer
Press the xfer softkey during a call to place the call on hold.
Enter the extension or number that you wish to transfer to, and then wait until the second party answers. Press the xfer softkey again.
Transferring a held call to an active call
If you have two calls on the line, you can transfer one of these calls to the other to connect the two callers. This is not the same thing as a conference call since you will no longer be part of the call after the transfer.
To perform this type of transfer, press the xferLx softkey when you have an active call and a second call on hold. If you have multiple calls on hold, you will need to select which call to transfer by pressing its corresponding line button.
Call Park
Call Park will “park” a call in a designated parking spot. A parked call can be retrieved from any device supported by Ooma Office. You can park a call by following these instructions:
Park a call
- Press the Transfer button.
- Dial *41, followed by the parking spot number and the # key. For example, dial *411002 to park a call in spot 1002.
- Press Transfer.
- Hang up the phone.
Retrieve a call
- Select a line or go off-hook.
- If you are using a desk phone or IP phone, dial *41, followed by the parking spot number and the # key. For example, dial *411002# to retrieve the call parked in spot 1002. If you are using the Ooma Mobile app, dial *41 followed by the parking spot number and the “handset” icon.
Call Flip
Call Flip allows you to seamlessly transfer calls between your extension’s devices. Flip a call from your IP phone to the mobile app by dialing *44 on the IP phone. All compatible devices on your extension will ring simultaneously.

Call Waiting
Toggle call waiting on and off or update the call waiting tone by following these instructions:
- Press the menu button
- Select Preferences (option 5)
- Select Call Waiting (option 16)
Caller ID blocking
You can block the caller ID from your phone by following these instructions:
- Press the setup button
- Select Preferences (option 5)
- Select Block Caller ID (option 5) and press the edit softkey
- Press the y/n softkey to toggle your choice
- Press the ok softkey
- Press the save softkey
Anonymous call blocking
Block incoming calls from anonymous sources by following these instructions:
- Press the menu button
- Select Preferences (option 5)
- Select Block Anonymous Call (option 4) and press the edit softkey
- Press the y/n softkey to toggle your choice
- Press the ok softkey
- Press the save softkey
Dial assistance
Dial assistance will display phone numbers from your call history lists on the LCD as you dial. To turn on dial assistance, follow these instructions:
- Press the setup button
- Select Preferences (option 5)
- Select Dial Assistance (option 8) and press the edit softkey
- Press the y/n softkey to toggle your choice
- Press the ok softkey
- Press the save softkey
Speed dial
Use speed dial to quickly dial frequently-dialed numbers.
Setting speed dial numbers
- Press the menu button
- Select Speed Dial (option 2)
- Select the key that you will assign a speed dial to (2-9) and press the edit softkey
- Enter the phone number that will be assigned to this key
- Press the ok softkey
Dialing a speed dial number
Dial the number assigned to the contact you wish to speed dial and then press the send softkey.
Voicemail
Check new messages
Press the voicemail button to access your Ooma Office voicemail.
Do Not Disturb
Turn on Do Not Disturb by pressing the dnd softkey. Your phone will not ring for incoming calls until Do Not Disturb is deactivated. Turn off Do Not Disturb by pressing the dnd softkey again. While Do Not Disturb is enabled, you will see its status indicated on the LCD display.
Phone customization
Directory
At this time, personal and company directories (accessed with the dir softkey) are not compatible with Ooma Office. These directories will be available at a future date.
Phone date and time
Update the date and time on your phone by following these instructions:
- Press the setup button
- Select Time/Date (option 7)
- Enter the date in the following format: mm/dd/yy
- Enter the time in the following format: hh/mm/ss
- If the time does not display am or pm correctly, adjust with Offset:
- To change from AM to PM, enter *12*00*00
- To change from PM to AM, enter #12*00*00
- Press the save softkey
LCD contrast
Update the contrast settings on your phone by following these instructions:
- Press the setup button
- Select LCD Contrast (option 16) and press the edit softkey
- Adjust the contrast with the navigation pad’s left and right buttons
- Press the save softkey
Ring tones
Update the ring tones on your phone by following these instructions:
- Press the setup button
- Select Ring Tone (option 4)
- Choose the line that will have a new ring tone and then press the change softkey
- Scrolls through the ring tones and press the play softkey to hear each one
- Press the select softkey to choose the highlighted ringtone
Star codes
The *code softkey, which can be located by scrolling to the right while the phone is idle, contains a list of Cisco-specific star codes. Most of these functions are not currently supported by Ooma Office.
Switching Workspaces
One of the benefits of an IP phone is that it can make changing workspaces quick and easy. When a user relocates to a new workspace, they can simply unplug their IP phone and take it with them. When the phone is plugged in again inside the same office building, it will retain the user’s extension information.
