Designed for Ooma Office Pro customers who are using the Ooma Desktop app for calling, Caller Info MatchPRO delivers a preview window with information about inbound and outbound calls based on the caller-ID name or number.

The information gleaned from Caller Info Match can be useful in many ways. For example, it may help you know whether a call is a customer or if it is a source of spam. If you use a CRM, you can automatically pull up each customer’s history. Making customer notes is a cinch when the customer’s profile is automatically available.

You can set up different searches for inbound and outbound calls. There are many preconfigured websites to choose from:

  • Google (name, phone number)
  • Facebook (name)
  • LinkedIn (name)
  • Custom, using {{name}} or {{number}} to insert the name or number variable into the link

You can also search CRMs:

  • Salesforce Classic (name, phone number)
  • Salesforce Lighting (name, phone number)
  • Hubspot (name, phone number)
  • Zoho (name, phone number)
  • ServiceNow (name, phone number)
  • LeadMaster (phone number)
  • Clio (name OR phone number)
  • Custom, using {{name}} or {{number}} as a caller ID name or number variables to personalize the query

Note: If you are searching a CRM, you may need to customize the search link with additional information like your instance number or your organization name.

You can get started with Caller Info Match by following these instructions:

  1. Launch the Ooma Desktop app and click your name in the upper-right corner.
  2. Choose App Preferences from the dropdown menu.
  3. In the Caller Info Match tab, click Configure Caller Info Match.
  4. Use the When menu to choose whether this rule will be for inbound or outbound calls. You can have one rule for each call type.
  5. Use the Search for Caller info in menu to choose a website or CRM to search. You can also choose Custom. The Open URL field will be automatically filled in based on your choice.
  6. Make any changes you want to the Open URL field. Most CRM systems will require you to fill in your company’s name or instance number. You can use {{name}} and {{number}} to represent the caller’s name and phone number, respectively, in the search string.
  7. Use the Rule Name field to give your rule a name.
  8. Click Next to review and confirm your rule.

You can exempt specific caller ID names or phone numbers from Caller Info Match by following these instructions:

  1. Launch the Ooma Desktop app and click your name in the upper-right corner.
  2. Choose App Preferences from the dropdown menu.
  3. In the Caller Info Match tab, click Configure Caller Info Match Exceptions.
  4. To add a new exception, enter the caller ID name or the phone number you would like to exempt from Caller Info Match and click Add. You can manage your existing exceptions by finding the name or phone number in the Exceptions table and clicking the delete button.
  5. Click Save to save your changes.

If you want to initiate a Caller Info Match on a website that is not listed, the steps below will help you create a custom link.

  1. Open the website you would use to search for information about the caller and perform a search for a phone number or a contact name.
  2. Copy the URL of the search results and look at it closely. The phone number or name you searched will appear somewhere in the URL. Replace those with {{number}} or {{name}}, respectively.
  3. Follow the instructions above and select Custom from the Match for Caller info in menu. Paste that URL into the Open URL field in the Desktop app and give your rule a name.
  4. Click Next to review and confirm your rule.
