Perfect for Regus customers who are often on the go and anyone else who wants to keep in touch with work while they’re not in the office, the Ooma Office mobile app lets you do the following:

  • Make and receive phone calls
  • Check and manage voicemails
  • Check your call history
  • Update your extension preferences.

The mobile app has a low bandwidth footprint, using approximately 87 kb/sec of bandwidth per minute in each direction. Outgoing calls from the app show your direct phone number. The Ooma Office mobile app is available for either iOS (version 10.3.1 and later) or Android (version 5.0 and later).

Downloading the mobile app

Download the Ooma Office mobile app for iOS or Android by clicking the appropriate link below:

Logging in

When you open the Ooma Office mobile app, you will need to log in.

Logging in requires the following information:

  • Your country
  • Your phone number
  • Your extension
  • Your extension password

Note: Your phone number and extension were sent to you in a welcome email. That email contained a link to set your password. If you have not already done so, you will need to click that link to set your password before you can log into the Ooma Office mobile app. If you don’t have access to your welcome email, you can follow the instructions here to request a new one.

Upon successful login, you will be able to use the mobile app to make and receive phone calls, manage your extension, and more.

Making a phone call

There are a few ways to make calls with the mobile app. Outbound calls will use your Ooma Office phone number as the caller-ID number.

  • Dialer: Switch to the dialer by tapping the keypad icon in the bottom navigation bar (iOS) or the settings menu (Android).
  • Contacts: To access a list of all contacts stored on your phone, tap the Contacts icon in the bottom navigation bar (iOS), or tap Contacts (Android).

Answering a phone call

If the mobile app is running in the background on your device when you receive an incoming phone call, you will receive an alert on your device that gives you the option to answer the call. You can send the call to voicemail by ignoring it.

Voicemail

You can use the mobile app to listen to, search, and manage your voicemail messages.

To view your voicemail inbox on iOS, tap the Calls icon in the bottom navigation bar, then tap the Voicemail icon in the upper-right corner.

To view your voicemail inbox on Android, open the Settings menu and tap Voicemail.

Listening to voicemail

New messages will display in bold. Tap on a message, then tap the play icon.

Returning a call

Tap on the message from the person whose call you’d like to return, then tap the return call icon.

Deleting voicemail

To delete a single voicemail, tap the message, then tap the trash icon.

To delete multiple messages, long press on the first message you’d like to delete. Once the mass manage) icon appears beside the message, tap any other messages you’d like to delete. When you have selected all the messages, tap mass delete to delete your selection.

Marking voicemail as new

If you’ve already listened to a voicemail but would like to mark it as new, tap the message, then tap Mark as Unheard (unheard) at the bottom of your screen.

To mark multiple messages as new, long press on the first message you’d like to mark as new. Once the mass manage icon appears beside the message, tap any other messages you’d like to mark as new. When you have selected all the messages, tap mass mark new to mark your selection as unheard.

Updating your voicemail greeting or name

You can update your voicemail greeting or name by dialing your extension number from the app. Press 5 to get to the voicemail options menu. From there, you can do one of the following:

  • Press 1 to record a new greeting.
  • Press 2 to record a new name for your inbox.

Checking call logs

You can check your call logs by tapping the Calls menu. You can view all recent calls, or you can tap the appropriate tab to filter your call logs to incoming, outgoing, or missed calls.

Updating your extension preferences

You can update the following extension preferences directly from the mobile app:

Preferences: Calling mode

Users in the United States and Canada can choose between VoIP and Cellular calling modes.

VoIP calling mode is best if your phone is connected to a strong, reliable, and cost-effective Internet connection like Wi-Fi or your cell carrier’s data connection.

Cellular calling mode is best if you’re in motion, like in the car. This mode uses your cell plan’s calling minutes.

Preferences: Voicemail: Pick up time

This option lets you change the amount of time your phone rings before calls roll to voicemail. Each ring takes about six seconds. The default is four rings (24 seconds).

Preferences: Voicemail: Forward to my email

Toggle this option on to forward an MP3 of any new voicemail message to your email address.

Toggle this option off to stop forwarding messages.

Preferences: Call Forward: Ring external number

If you want calls to ring through to your cell phone, leave this option off.

If you want to forward calls to another number, turn this option on. Tap External Number to enter the phone number that calls will be forwarded to.

Turn on Require key press on answer if you want to be prompted to press 1 to answer a forwarded call. Turning this option on prevents callers from being sent to the external number’s voicemail if you don’t answer.

Changing your password

You can change your password by following these instructions:

  1. Tap the More menu
  2. Tap Profile
  3. Tap Change Password
  4. Enter your current password, then enter your new password twice and tap CONFIRM

Logging out

You can log out of the mobile app by following these instructions:

  1. Tap the More menu
  2. Tap Profile
  3. Tap Logout

Resetting your Ooma Office password

You can recover your Ooma Office password by clicking on the Forgot Your Password link at the bottom of the Login screen. Click Reset It to begin the password recovery process.
