With Hot Deskingpro plus, a user can temporarily log into any unassigned IP phone. When the user logs in, they can use that phone to make and receive phone calls as though it was their desk phone. A phone that is temporarily assigned to a user through Hot Desking will have the following features:

  • Incoming calls will ring to the Hot Desk phone in addition to the user’s other devices
  • Outgoing calls from the Hot Desk will show the user’s caller ID
  • The Hot Desk phone’s voicemail indicator will flash when the user receives a voicemail

A phone will remain assigned to the user in Hot Desk mode until it is manually disabled or until 2:00 am, whichever comes first. Once a phone has been logged in as a Hot Desked device, it is unavailable for another user to Hot Desk until it is logged out again. Enabling Hot Desking for your Ooma Office account

You can enable Hot Desking for your account by following these instructions:

  1. Log in to office.ooma.com as an administrator and navigate to the Settings page.
  2. Click System, then navigate to the Hot Desking tab.
  3. Click Enable Hot Desking and then Save your changes.

Ending a user’s Hot Desking session

When Hot Desking is enabled for your account, any user can Hot Desk any available eligible IP phone. If you need to end a user’s session, you may do so by following these instructions:

  1. Log in to office.ooma.com as an administrator and navigate to the Settings page.
  2. Locate the user you’d like to log out of Hot Desking and click the corresponding line.
  3. Under the Devices tab, click the End Session button in the banner. This button will not appear if the user has successfully logged out of their Hot Desking session.
  4. Save your changes.

Ending a device’s Hot Desking session

If you need to end an active Hot Desking session for a specific device, you can do so by following these instructions:

  1. Log in to office.ooma.com as an administrator and navigate to the Device page.
  2. Locate the device you’d like to log out of Hot Desking and click the corresponding line.
  3. Under the Base tab, click the End Session button in the banner. This button will not appear if the active session has already been logged out.
  4. Save your changes.
