When you have a group of individuals with similar job functions such as a support team, you may want incoming calls to ring through to the whole team to make sure that no call goes unanswered. Ooma Office allows you to do this with Ring Groups, a feature that lets you set up your system to ring multiple peoples’ phones from the same direct phone number or extension.
When a call comes in to the Ring Group’s phone number or extension, all phones in the Ring Group will ring according to the pattern that you choose. If no one is available to answer, calls can be sent to a voicemail box or redirected to a specific extension.
Ring Groups can ring members in two ways:
Simultaneous Ring rings all phones in the Ring Group at the same time until someone answers. This setup is perfect for teams such as a support group or an accounting group where all members are equally responsible for fielding incoming calls.
Sequential Ring rings the phones of users one at a time in the order you specify until the call is answered. This setup is ideal for positions such as a receptionist, where a single person holds the primary responsibility for answering the phone with other individuals acting as backups. If the receptionist’s only device is an IP phone, the phone can be placed into Do Not Disturb mode to automatically forward calls to the backup receptionist or the Virtual Receptionist.
