LED Indicators

Solid green

There is an active call on the phone, or the phone is placing a call

Flashing green

The call is on hold, or there is an active call and a held call.

Solid red

The call is muted, or the phone is starting up.

Flashing red

The phone is ringing.

Calling

Making calls

Use the keypad to enter the number you wish to dial. The phone will automatically dial any valid phone number or extension.

You may also press the green phone key and then use the keypad to enter the number you wish to dial.

Redial

Press the redial key to bring up a list of recently dialed numbers. Select the desired number, and then press the Send softkey or the redial key.

Receiving calls

Press the green phone key or the Answer softkey while the phone is ringing.

Rejecting calls

Press the Reject softkey or the red phone key while the phone is ringing.

Ending calls

Press either the red phone key or press the EndCall softkey.

Call management

Call mute

Press the mute key to mute a call. The mute status will be indicated on the phone LCD.

Press the mute key again to unmute the call.

Placing calls on hold

Press the Hold softkey during a call to place a call on hold. Press the Resume softkey to resume the call.

If there are multiple calls on hold, use the up and down navigation buttons to select the desired call and then press the Resume softkey.

Three-way call conferencing

Press the Conf softkey to place the active call on hold.

Enter the second number that you wish to call and press Send. When the second party picks up, press the Conf softkey again to join the calls together.

Call Park

Call Park will “park” a call in a designated parking spot. A parked call can be retrieved from any device supported by Ooma Office. You can park a call by following these instructions:

Park a call

  1. Press the Transfer button.
  2. Dial *41, followed by the parking spot number and the # key. For example, dial *411002 to park a call in spot 1002.
  3. Press Transfer or #.
  4. Hang up the phone.

Retrieve a call

  1. Select a line or go off-hook.
  2. If you are using a desk phone or IP phone, dial *41, followed by the parking spot number and the # key. For example, dial *411002# to retrieve the call parked in spot 1002. If you are using the Ooma Mobile app, dial *41 followed by the parking spot number and the “handset” icon.

Call Flip

Call Flip allows you to seamlessly transfer calls between your extension’s devices. Flip a call from your IP phone to the mobile app by dialing *44 on the IP phone. All compatible devices on your extension will ring simultaneously.

Adding additional parties to an established conference call

Press the Manage softkey after the conference call is established.

Press the NewCall softkey to get a fresh dial tone. Enter the number of the new party, and then press Send. When the party picks up, press the Conf softkey to link the new call to the established conference call.

Repeat these steps to bring additional parties into the conference call.

Splitting a conference call

During an active conference call, press the Split softkey to break the call into individual calls that are each on hold.

Managing a conference call

Press the Manage softkey and then use the up and down arrow keys to select a party that you wish to manage. From there, you can take the following actions:

  • Press the Far Mute softkey to forbid a party from speaking. The muted party can hear everyone, but no one can hear the muted party
  • Press the Remove softkey to remove the selected party from the conference call

Transferring calls

Blind transfer

Press the Tran softkey during a call to place the call on hold.

Enter the extension that you wish to transfer to, and then hit the Tran softkey again.

Attended transfer

Press the Tran softkey during a call to place the call on hold.

Enter the extension that you wish to transfer to, and then wait until the second party answers. Press the Tran softkey again.

Calling features

Call Waiting

Toggle call waiting on and off or update the call waiting tone by following these instructions:

  1. Press the Menu softkey
  2. Select Features
  3. Select Call Waiting

Auto Answer

Auto Answer will automatically pick up a call on a line that you specify. Toggle Auto Answer on and off or update the call waiting tone by following these instructions:

  1. Press the Menu softkey
  2. Select Features
  3. Select Auto Answer

Key as send

Do not change the default value.

Auto Redial

Automatically redial a number that is busy when you call. You can turn on Auto Redial and specify the time between calling attempts as well as the number of redial attempts by following these instructions:

  1. Press the Menu softkey
  2. Select Features
  3. Select Auto Redial

If Auto Redial is enabled, you will see a prompt on the LCD of the phone when you dial a line and receive a busy signal. Press the OK key to activate Auto Redial.

Do Not Disturb

Turn on Do Not Disturb by pressing the DND softkey. Your phone will not ring for incoming calls until Do Not Disturb is deactivated. Turn off Do Not Disturb by pressing the DND softkey again.

While Do Not Disturb is enabled, you will see a DND icon in the upper-right corner of the LCD display.

Phone language

Update the language on your phone by following these instructions:

  1. Press the Menu softkey
  2. Select Settings
  3. Select Basic Settings
  4. Select Language

Phone date and time

Update the date and time on your phone by following these instructions:

  1. Press the Menu softkey
  2. Select Settings
  3. Select Basic Settings
  4. Select Time & Date

Contrast settings

Update the contrast settings on your phone by following these instructions:

  1. Press the Menu softkey
  2. Select Settings
  3. Select Basic Settings
  4. Select Display
  5. Select Contrast

Backlight settings

Update the backlight settings on your phone by following these instructions:

  1. Press the Menu softkey
  2. Select Settings
  3. Select Basic Settings
  4. Select Display
  5. Select Backlight

Volume adjustment

Use the volume +/- key during a call to adjust the volume of the speaker.

Use the volume +/- key when the phone is idle to adjust the ringer volume.

Phone status

IP address

You can find the phone’s IP address by pressing the OK key while the phone is idle. The IP address will be the first option on the screen.

MAC address

You can find the phone’s MAC address by either pressing the OK key while the phone is idle and viewing the second option on the screen, or by checking the bottom of the phone.

Switching Workspaces

One of the benefits of an IP phone is that it can make changing workspaces quick and easy. When a user relocates to a new workspace, they can simply unplug their IP phone and take it with them. When the phone is plugged in again inside the same office building, it will retain the user’s extension information.
