Calling

Making calls

Pick up the handset and enter the phone number or extension, you would like to dial. You can also use a programmable button that has been configured with a phone number or extension.

If you would like to use the speakerphone, press the speaker key while the handset is still on the hook and then enter the number.

Receiving calls

Pick up the handset or press the Answer softkey answer or the speaker key while the phone is ringing.

Rejecting calls

Press the Reject Call softkey reject while the phone is ringing.

Ending calls

Either hang up the handset or press the End Call reject softkey.

If you are using the speakerphone, you can press the speaker key to end a call.

Call management

Call mute

Press the Mute key to mute a call. The mute status will be indicated on the phone LCD.

Press the Mute key again to unmute the call.

Placing calls on hold

Press the Hold key hold during a call to place a call on hold. Press the Resume resume softkey to resume the call.

If there are multiple calls on hold, use the up and down navigation buttons to select the desired call and then press the Resume softkey.

Three-way call conferencing

Press the Invite invite softkey to place the active call on hold.

Enter the second number that you wish to call. When the second party picks up, press the Conference conference softkey again to join the calls together.

Transferring calls

Blind transfer

Press the Transfer transfer key to place the call on hold.

Enter the extension or number that you wish to transfer to, and then press the Transfer key again to complete the transfer. Hang up the phone.

Attended transfer

Press the Transfer transfer key to place the call on hold.

Dial the extension number and hit the AttTrnf softkey. Wait until the second party answers, then press the Transfer key again. If the user wants to take the call, hang up the phone. Otherwise, press the flashing line where the call originated to return to the caller.

Call Park

Call Park will “park” a call in a designated parking spot. A parked call can be retrieved from any device supported by Ooma Office. You can set up a programmable button to park and retrieve calls from a specific parking spot. You can also follow these instructions to use the dial pad:

Park a call

  1. Press the Transfer transfer button.
  2. Dial *41, followed by the parking spot number. For example, dial *411002 to park a call in spot 1002.
  3. Press #.
  4. Hang up the phone.

Retrieve a call

  1. Select a line or go off-hook.
  2. Dial *41, followed by the parking spot number and the # key. For example, dial *411002# to retrieve the call parked in spot 1002. If you are using the Ooma Mobile app, dial *41 followed by the parking spot number and the “handset” icon.

Call Flip

Call Flip allows you to seamlessly transfer calls between your extension’s devices. Flip a call from your IP phone to the mobile app by dialing *44 on the IP phone. All compatible devices on your extension will ring simultaneously.

Calling features

Call Forward

Set up call forwarding by dialing *72. Wait for the prompt and then dial the phone number that will receive calls, followed by #.

Toggle call forwarding on and off by dialing *74 and following the directions in the phone prompts.

Call Waiting

  1. Press the Menu button
  2. Select Account
  3. Select Call Settings
  4. Select Disable Call Waiting
  5. Toggle call waiting on and off
  6. Save your changes

Voicemail

Check new messages

When the LED indicator flashes slowly, press the MESSAGE button to access your Ooma Office voicemail.

Do Not Disturb

Turn Do Not Disturb on or off by pressing the DND softkey.

Your phone will not ring for incoming calls while Do Not Disturb is active. Press the DND softkey a second time to turn Do Not Disturb off again.

While Do Not Disturb is enabled, you will see a DND icon in the upper-right corner of the LCD display.

Programmable buttons

You can assign specific tasks like Extension Monitoring, speed dial, line, or Call Park to buttons on your phone. Programmable buttons can be set up by your account admin on the Devices page in Ooma Office Manager.

Extension Monitoring

When a programmable button is set up to monitor a specific extension, the color and flashing speed of the light beside that button will give you information at a glance about the monitored extension’s status. Depending on the context, you can use the Extension Monitoring button to perform the following actions:

  • See the extension’s status (on-hook, in a call, etc.)
  • Direct-dial the extension
  • Make a blind or attended transfer to the extension
  • Initiate a 3-way phone call with the extension
  • Answer incoming calls to the extension

Phone customization

Phone language

Update the language on your phone by following these instructions:

  1. Press the Menu button
  2. Select Settings
  3. Select Preferences
  4. Select Language
  5. Choose the language you’d like and save your changes

Phone date and time

Update the date and time on your phone by following these instructions:

  1. Press the Menu button
  2. Select Preference
  3. Select Date Time
  4. Update your date and time and save your changes

Sound settings

Update the ring tones and key tones on your phone by following these instructions:

  1. Press the Menu button
  2. Select Preference
  3. Select Sounds
  4. Adjust the settings you’d like to change, including your ring tone and ring volume, and save your changes

Phone status

IP address

You can find the phone’s IP address by following these instructions:

  1. Press the Menu button
  2. Select Status
  3. Select Network status
  4. Scroll down until you see the phone’s IP address

MAC address

You can find the phone’s MAC address by following these instructions:

  1. Press the Menu button
  2. Select Status
  3. Select Network status
  4. Scroll down until you see the phone’s MAC address

Switching Workspaces

One of the benefits of an IP phone is that it can make changing workspaces quick and easy. When a user relocates to a new workspace, they can simply unplug their IP phone and take it with them. When the phone is plugged in again inside the same office building, it will retain the user’s extension information.
